Survey privacy notice

How we use your survey answers

This notice covers the age-adapted MindsMelt survey. Participation is voluntary. Please read how answers are used and the limits on withdrawing a submitted response.

Who is responsible

The data controller is Jacques Jefferies, acting personally under the MindsMelt project name. MindsMelt is not yet a registered company or non-profit. You can contact the controller at infomindsmelt@gmail.com.

What MindsMelt is and why we are asking

MindsMelt is an independent pilot project being built to improve mental-health support in sport. It aims to give athletes practical information and support-finding resources, and to create a Standard through which sporting organisations must demonstrate that their support is confidential, qualified, responsive and safe. We use this survey to understand athletes’ support needs and barriers, decide which resources and functions to build first, develop the MindsMelt Standard and publish grouped findings.

Legal basis and sensitive information

Participation is voluntary. We rely on your consent under Article 6(1)(a) GDPR and your explicit consent under Article 9(2)(a) GDPR because answers on the adult route may reveal information about mental health and wellbeing. The shorter route does not ask for personal mental-health experiences. You must actively accept the consent statement before starting and may stop before submission.

Age

The survey is for people aged 16 or older. Ages 16–17 use a six-question route covering age, country of residence, formats, trust and general support priorities. It excludes personal mental-health experiences and free text. This shorter route is initially available in the EU/EEA and is also used when someone confirms they are at least 16 but prefers not to give an age band. Participants consent for themselves. You can stop before submitting.

What is collected

We store your survey answers, language, submission date, survey and consent versions, limited MindsMelt campaign tags, broad referring website host and broad device category. We do not ask for your name, email, exact team or exact location. Please do not put identifying information into the optional written answer.

Unfinished answers and retries

Unfinished answers use this tab’s session storage when available; browser session recovery can preserve them. Clear the draft on a shared device. When you submit, an exact recovery copy is kept in the tab until saving is confirmed, so retries use the same answers and random submission key. This key does not link to newsletter signup. Drafts and recovery answers expire 24 hours after starting and are removed when reopened or when you next try to continue or retry. An expired recovery copy leaves only a warning that the outcome is unknown, without answers or identifiers. Removing a browser copy does not delete a response already received. If storage is blocked, recovery works only while the page remains open.

Identity and withdrawal limits

The survey is designed without a direct identifier linking a response to you. However, combinations of answers may still be personal data, so we protect the raw dataset under GDPR. Because we do not hold a lookup key for participants, we may be unable to identify and remove one particular response after it has been submitted. You can stop and clear the unfinished response before submission.

Access, use and publication

Raw responses are accessible only to Jacques Jefferies and any future specifically authorised MindsMelt privacy or research reviewer. Administrator access to an individual response and raw exports is logged. We will use responses to develop the project and publish only grouped themes or statistics designed to avoid identifying a participant. We do not send individual answers to sporting organisations.

Storage and service providers

Vercel hosts and delivers the survey application. Supabase stores the survey database in its Frankfurt, Germany region (eu-central-1). These providers process data on behalf of the controller. Database storage in Germany does not mean all provider operations take place in Germany; hosting, delivery and support may involve processing in other countries under the providers’ data-processing terms.

Retention

Raw responses are scheduled for review and deletion or irreversible anonymisation no later than two years after submission, and sooner if they are no longer needed for the stated purposes. Two years is the project’s chosen maximum period, not a universal GDPR maximum.

Email updates

This survey does not collect an email address or sign you up for updates. No newsletter subscription is created when you submit.

Your rights and complaints

You may withdraw consent for future processing and ask about access, correction, deletion, restriction or portability by emailing infomindsmelt@gmail.com. Our ability to act on one submitted response may be limited if we cannot identify it without collecting more identifying information. You may also complain to the French data protection authority, the CNIL.
